Privacy policy
This policy explains what personal information Optima Consulting collects, why, who we share it with, and the choices you have. It covers this website, our ad lead forms (including forms on Facebook and Instagram), our booking calendar, and our email and text communication.
Who we are
Optima Consulting is a trade name of EasyGrades LLC, a Texas limited liability company (“Optima”, “we”, “us”). We are the business responsible for the information described here.

What we collect
Information you give us. When you fill in a form on this site or in an ad (for example a Meta lead form), book a call, sign an onboarding page, or email us, we collect what you enter. That usually means your name, email address, phone number, business name, website, job title, and your answers to the questions on the form, such as what your business does or what you want help with.
Information from ad platforms. If you submit a lead form on Facebook or Instagram, Meta passes the answers you submitted to us. Some fields may be pre-filled from your Meta profile. You can review and edit them before you submit. We do not receive your Meta password or private messages.
Information collected automatically. Like most websites, our hosting provider logs basic technical data when you visit: IP address, browser type, the pages requested, and the time of the request. If we run advertising measurement tools such as the Meta Pixel or Google Analytics, they may set cookies or similar technologies to tell us which ads led to a visit or an enquiry.
Business information about you. When we prepare a proposal or a visibility review, we may look at public information about your business, such as your website, reviews, listings and search results.
How we use it
- To reply to your enquiry and to schedule and hold the call you asked for.
- To prepare a review, proposal or quote for your business.
- To deliver services under a contract, and to invoice and keep business records.
- To send you follow-up emails or texts about your enquiry and, where the law allows it or you have agreed, occasional updates about our services. You can opt out at any time.
- To measure which ads and pages work, so that we spend less showing ads to people who are not interested.
- To protect our site and our business, and to comply with the law.
Who we share it with
We do not sell your personal information, and we do not share it for other companies’ marketing. We share it only with service providers that help us run the business. They may use it only to provide their service to us:
- Customer management and scheduling. HighLevel (LeadConnector) holds our contact records, booking calendar, forms, and email and text messaging.
- Email and documents. Google Workspace.
- Website hosting. Vercel.
- Advertising. Meta (Facebook and Instagram), and Google if we advertise there. These platforms receive the information their own lead forms and tools collect.
- Payments. Our payment processor, if you buy from us. We never see or store your full card number.
- Professional advisers and authorities. Our accountants and lawyers, or a regulator or court when the law requires it.
If the business is ever sold or merged, the records would pass to the new owner under this same policy.
Text messages
If you give us your mobile number and agree to receive texts, we will send messages about your enquiry, your appointment or your project. Message frequency varies, and message and data rates may apply. Reply STOP to stop receiving them, or HELP for help. We do not share or sell mobile numbers or text-messaging consent with any third party for their marketing.
Cookies and ad tracking
You can block or delete cookies in your browser settings. You can control how Meta uses your activity for ads in your Facebook ad preferences, and how Google does in My Ad Center. Blocking these tools does not stop the site from working.
How long we keep it
Enquiries that do not become clients are kept for up to two years after our last contact, then deleted. Client records are kept for as long as we work together and then for seven years, for tax and legal purposes. You can ask us to delete your information sooner (see below).
Your choices and rights
Wherever you live, you can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct anything that is wrong;
- delete it, unless we have to keep it by law;
- stop sending you marketing emails or texts.
Depending on where you live, you may have further rights. Residents of Texas, California and other U.S. states with privacy laws may opt out of targeted advertising and may appeal a decision we make on their request. Residents of Quebec and the rest of Canada have rights under Quebec’s Law 25 and PIPEDA. For Quebec, the person in charge of protecting personal information is John Karras, who can be reached at the email address below.
To make a request, email john@optimaconsulting.ai with the subject line “Privacy request”. We will confirm who you are before acting on it, and we will reply within 30 days. We will not treat you differently for using these rights. If you are not satisfied with our answer, you can reply to ask us to reconsider. You can also contact your local privacy regulator.
Security
Your information is stored with the providers listed above. They use encryption and access controls. Inside Optima, only the two partners can access it. No system is perfectly secure. If a breach affects you, we will tell you as the law requires.
Where it is stored
We are based in the United States and also work with clients in Canada. Your information is processed mainly in the United States. Privacy laws there may differ from those where you live.
Children
Our services are for businesses. We do not knowingly collect information from anyone under 16.
Changes
If we change this policy, we will update it on this page and change the date at the top. If a change is significant, we will tell the people affected.
