Optima Consulting  ·  Dallas & Montreal

Most consultants hand you a plan.We build the fix.

Every business has three or four things quietly costing it money — the quoting, the follow-ups that never happen, the numbers nobody sees until month-end. We find them, put a figure on each one, and build the fix ourselves.

1Introducing Optima

Operators, not advisors.
We stay until it works.

Why us
  • Two partners with real P&L history — not a deck team.
  • We build it ourselves, so the advice has to survive contact.
  • Whole business, not one function — the money leaks in the handoffs.
  • Fixed scope, fixed price, and a number attached before you commit.

Most firms sell you the thinking and leave before the hard part. We do the thinking, then we build the thing — the workflow, the agent, the system, the site — and we're still there the month after it goes live, when it actually has to hold up.

How we work
John Karras & Karla Garabedian · Partners
We'd rather build the fix than hand you a report you'll file and never open.
2What we build

Five ways we stop
the money going out.

Every engagement starts with the same question — where is this business losing time, margin or customers? These are the five things that answer it most often.

01 · AEO, SEO & web development

Get named when a buyer asks an AI who to call.

Buying now starts with a question typed into an assistant, and the answer comes back as three names and a short reason. If yours isn't one of them, you never find out you lost — there's no impression, no click, no line in the report. We make your business the one the models can verify and quote, then rebuild the site behind it so the visit turns into a booked call instead of a bounce.

  • Answer-engine visibility audit
  • Evidence the models can cite
  • Classic search, still working
  • Site rebuilt to convert
Where you stand today
02 · AI employees

The next hire you need, without adding to payroll.

An AI employee that answers the 9pm enquiry, qualifies it, books it, and has the file ready before anyone opens a laptop. We build it around how you actually sell, connect it to the systems you already pay for, and then manage it — because an AI employee nobody watches quietly stops being useful.

  • Built and connected
  • Monitored after go-live
  • Escalates to a human

03 · AI training

Your team using it Monday, not just excited about it Friday.

Generic AI training produces nodding, then nothing. We train on your files, your quotes, your inbox — so people leave with three tasks they now finish in minutes and a habit that survives the week. Managers get the version that shows them what to expect and what to stop paying for.

  • Your workflows, not demos
  • Live in-session builds
  • Follow-up clinic

04 · Bespoke CRM & software

Software shaped like your business, not the other way around.

You're paying per seat, per month, forever, for a tool that fits about sixty percent — and your team keeps a spreadsheet on the side to cover the rest. We build the CRM, the client portal, the quoting tool, the dashboard, the way you actually run. You own it. It doesn't get repriced next January.

  • Owned, not rented
  • Fits the real process
  • Talks to what you have
Scope a build
05 · AI & automation workflows

The work that eats your week, done without you.

Quoting, follow-up, onboarding, invoicing, the month-end numbers nobody sees until it's too late to act on them. We map where the hours go, price the leak in dollars, and automate the path end to end — then hand you the before-and-after so you can see exactly what came back.

  • Hours costed first
  • End-to-end, not a demo
  • Before / after in writing

3How it works

Four steps. You can
stop after any of them.

Nothing here asks you to sign a twelve-month agreement on the strength of a conversation.

STEP 01

The 30-minute call

You tell us what's slow, expensive or annoying. We tell you straight whether there's anything here worth paying for. Roughly half the time the honest answer is "fix your process first, don't buy anything" — and we'll say so.

Free
STEP 02

The diagnostic

Two weeks inside the business. We follow the money through quoting, sales, delivery and admin, and come back with the three or four leaks, what each one costs you a year, and what it would take to close it. It's yours to keep and act on, with us or without us.

Fixed fee
STEP 03

The build

We build the highest-value fix first, and we build it to be used by your team on a Tuesday afternoon, not admired in a demo. Fixed scope, fixed price, agreed before anyone starts. You see it working before you pay the balance.

Fixed scope · Fixed price
STEP 04

Keep it running

Systems drift. Prices change, staff leave, a supplier changes their format. If you want us watching it, we do — monthly, cancel any time. If you'd rather own it outright, we hand over the keys and the documentation and get out of the way.

4Straight answers

The questions owners
actually ask us.

How long until something is actually working?

The diagnostic takes about two weeks. The first build is usually live within four to six weeks of that — and we sequence it so the piece that pays for the engagement goes first, not last.

If someone tells you they can transform your business in a week, they're selling you a demo.

What does this cost?

The call costs nothing. The diagnostic is a fixed fee, quoted before we start, and it's priced so that it's recoverable out of the first fix we find. Builds are fixed-scope and fixed-price — you approve a number, not an hourly meter.

We'll tell you the range on the first call rather than making you sit through three meetings to find out.

We got burned by an agency before.

Usually in one of two ways: a large invoice for a strategy document, or a build that worked in the demo and fell over in week three. We're structured against both. The diagnostic ends with a build, and the build ends with your team using it while we're still on the hook.

And if the honest answer is that you don't need us, you'll get that on the free call, not after the deposit.

Do we need to be "ready for AI" first?

No. Most of what we find isn't an AI problem at all — it's a handoff nobody owns, or a number nobody sees in time. We fix those the cheapest way that works. AI is how the fix got affordable at your size; it isn't the point of the exercise.

What happens when it breaks?

Something eventually will — a supplier changes a format, a platform changes an API. That's why step four exists. On a monthly plan we catch it, usually before you notice. Without one, you own the documentation and the code, and you can call us or your own developer.

Who actually does the work?

The two partners. John runs the systems and the build; Karla runs client strategy and the commercial side. You are not handed to a junior after the sales call, because there isn't one.
